The Receptionist is primarily responsible for answering incoming telephone calls and/or taking messages for appropriate parties. Provide administrative support to Accounts Payable Clerk primarily responsible for vouchering vendor invoices for approval and payment from the corporate office. Provide general administrative support to office personnel, performing a variety of clerical duties including but not inclusive to one or more of the following descriptions:
o Answer incoming telephone calls, forward to appropriate parties, and take messages, as necessary.
o Greet office visitors and notify employees that visitors have arrived.
o Assist with the application process for candidates applying with the company.
o Receive, sort and distribute incoming mail and packages. Sign for parcels, as needed. Sort, weigh and post outgoing mail and overnight packages, as needed.
o Provide administrative support, including typing memos, correspondence, calendar reminders, email distribution, and other communication, as needed.
o Perform basic clerical functions in support of all office personnel, including data entry, copying, faxing, collating, compile reports as needed, etc.
o Assist Accounts Payable in matching invoices to MSF purchase orders and receivers. Create voucher in Excel form. Distribute to department heads for approval. Distribute to General Manager for final approval before sending to the corporate office. Match voucher with check stub supplied by corporate for proof invoice has been paid.
o Answer calls from vendors concerning past due invoices, payment amounts, and any problems involving their invoices.
o Perform additional duties, as required.
o High school diploma or equivalent.
o 6+ months of related office experience; working knowledge of general office procedures.
o Ability to handle multiple phone line switchboards.
o Proficiency in the use of a personal computer, including MS Word and Excel.
o Strong interpersonal and communication skills; professional demeanor and appearance required.
o Ability to identify problems with invoices and resolve with minimal supervision.
o Excellent organizational and time management skills.
o Ability to work with little supervision; must be a self-starter.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
